Luggage Forwarding in Japan
How to Send Bags Between Hotels
Introduction
Changing cities in Japan becomes more complicated when your suitcase needs to accompany every station transfer, lunch stop and sightseeing visit. This is particularly noticeable when you leave one hotel in the morning but will not reach the next until evening, or when a short countryside stay sits between two longer city visits.
Luggage forwarding in Japan allows you to send a suitcase separately while travelling with a smaller bag. Participating hotels and courier counters can help arrange delivery, but the useful starting point is your accommodation schedule: where you need the suitcase next, when the courier can deliver it and whether someone there can receive it. Once those details agree, forwarding can make a journey considerably easier.
Service information and price examples checked against official courier and hotel sources on 15 September 2026. The route example below is an illustrative planning arrangement.
Should You Forward Your Luggage or Take It With You?
Forwarding is particularly useful when an intermediate stay would otherwise involve carrying a large suitcase through several transfers. For example, you might spend a night in Hakone between Tokyo and Kyoto, taking a smaller bag for that part of the trip while sending your main luggage ahead. The benefit comes from avoiding the suitcase during the awkward section of the journey, rather than simply removing it from one train ride.
Carrying your luggage can still be the easier choice for a direct journey between conveniently located hotels. You retain access to everything, pay no delivery charge and do not need to coordinate a separate arrival. If your suitcase is manageable, compare the complete journey using the Tokyo-to-Kyoto transport guide before deciding that delivery is necessary.
Storage may suit a different situation: visiting somewhere and returning to the same accommodation. Ask whether your hotel can hold the bag for the required period, including overnight if relevant. Forwarding also does not remove the time spent checking out and reaching another hotel, so settle how many hotel changes your Japan trip needs before arranging deliveries around them.
Check Both Hotels Before Arranging Delivery
The sending hotel and receiving hotel have different responsibilities. One needs to help arrange dispatch; the other needs to accept the suitcase and associate it with your reservation. Yamato advises confirming both arrangements in advance, including the receiving property’s ability to accept luggage at reception. A reservation at a hotel does not automatically confirm that it offers either service. See Yamato’s hotel-to-hotel guidance.
Contact the receiving hotel with your booking name, check-in date, number of bags and proposed delivery date. Ask whether early delivery is permitted, whether storage costs extra and which address and reservation details should appear on the label. Use the full property name: sending a suitcase to the correct chain but the wrong branch can create an avoidable problem.
I have a reservation under [name], checking in on [date]. May I send [number] suitcase(s) by prepaid courier for delivery on [date]? Please confirm whether you can receive and store them until check-in, any storage charge, and the address and booking details to include on the shipping form.
How Long Does Luggage Forwarding Take?
Plan around a confirmed delivery date rather than a fixed number of hours. The sending location, destination, collection deadline and chosen service all matter. Handing a suitcase to reception after the day’s collection may mean it does not begin its journey when you expect. Ask when the courier will collect it and when delivery is expected, rather than only asking whether the hotel “does luggage forwarding.”
Yamato’s accommodation FAQ advises dispatch before the cutoff at least two days before check-in, with three days needed for some destinations. Its hotel-to-hotel guidance recommends arranging arrival at least a day before the stay. These instructions make early acceptance by the receiving hotel an important part of the arrangement. Confirm the applicable service and dates for your particular journey. Check Yamato’s accommodation delivery guidance.
Same-day options also exist. Yamato’s same-day service operates between selected counters and destinations, with local deadlines. Some specialist services cover longer journeys: MIMARU advertises eligible Tokyo–Kansai deliveries with its own reservation requirements and late collection times. Check whether the bag will be available when you actually need it; “same day” may still mean spending the afternoon and evening without it.
How Much Does Luggage Forwarding Cost?
The price depends on the route, service, dimensions and weight. Yamato calculates size by adding length, width and height, and uses the higher applicable category when dimensions and weight fall into different bands. Size 140 allows up to 140 cm combined dimensions and 20 kg; Size 160 allows up to 160 cm and 25 kg. Standard TA-Q-BIN’s overall maximum is 200 cm and 30 kg, subject to its other acceptance conditions. Check the official size requirements.
These Tokyo-to-Kyoto examples come from Yamato’s published standard cash-rate table, checked on 15 September 2026. They are one-way prices per parcel, including tax, before applicable discounts or additional service charges. View the official rate table.
| Suitcase category | Maximum combined dimensions | Maximum weight for category | Example price |
|---|---|---|---|
| Size 140 | 140 cm | 20 kg | ¥2,780 |
| Size 160 | 160 cm | 25 kg | ¥3,160 |
Ask for the total charge before handing over the bag, particularly when using a hotel service or an airport counter. The examples above do not describe every delivery product. If several people are sending suitcases, calculate the total for the group and compare it with carrying the bags or using storage. Include the charge in your Japan travel budget so it remains a deliberate convenience expense.
How to Send Luggage Between Hotels: Step by Step
- Confirm the arrangements before your last morning. Ask the sending hotel which courier it uses, its collection deadline and how payment works. Have the receiving hotel’s agreement ready, including the accepted delivery date. Raising this during your stay leaves time to find another option if reception cannot arrange the service.
- Prepare the destination details. Keep the hotel’s full name, postal code, address and telephone number together with your reservation name and check-in date. Use the address supplied by the property. Show staff your booking confirmation so they can distinguish the guest’s name from the hotel name and confirm the correct branch.
- Pack for the entire period without the suitcase. Count from the moment you hand it over until you expect to collect it. That can include another night in your current city as well as the intermediate stay. Keep clothing, toiletries, essential medication, chargers and anything needed for planned activities with you. Yamato prohibits sending passports, cash and bank cards; check its prohibited-items guidance before closing the bag.
- Complete and check the shipping form. The form, called a waybill, records sender and recipient information, parcel contents and delivery details. Yamato confirms that waybills can be written in English. Hotel staff may help, but check the destination, booking name and requested date yourself. Describe the contents accurately rather than writing only “luggage.” The official waybill guide explains the form.
- Confirm the final charge and handover. Have the suitcase measured and weighed, confirm the service being used and arrange prepaid shipping for the hotel delivery. Ask how to follow progress and whether any part of the requested arrangement needs changing. Remove outdated delivery labels that could cause confusion, while retaining your ordinary luggage identification.
- Keep the receipt and tracking number accessible. Photograph the paperwork and retain the original receipt with your travel documents. Check the delivery status before reaching the destination, then collect the bag through reception and inspect it. The paperwork becomes particularly useful if the hotel needs help identifying the delivery or you need to contact the carrier.
Example: Sending Your Suitcase Ahead While Staying in Hakone
Suppose you have three nights in Tokyo, one night in Hakone and then a Kyoto stay. One possible arrangement is to send the suitcase from Tokyo on Day 3, request delivery to Kyoto on Day 4 and collect it when you check in on Day 5. This requires the courier to confirm the delivery date and the Kyoto hotel to agree to receive the suitcase before your arrival.
Your smaller bag must therefore cover the final Tokyo night, the Hakone overnight stay and the journey to Kyoto. Think about the activities and weather during those days as well as clean clothes. A rain jacket or suitable footwear left in the main suitcase will be unavailable when you need it, even if the delivery itself goes exactly to plan.
If the hotel cannot accept delivery on Day 4, agree on another workable arrangement before sending. If the courier cannot meet the required date, sending earlier or carrying the suitcase may be preferable. Yamato permits a preferred delivery date within seven days of entrusting the luggage to it, which can help with intermediate stays, but the receiving hotel’s storage policy remains separate. Read the delivery-date rules. When adapting a 10-day Japan itinerary, place the luggage arrangement beside the relevant hotel dates so both plans remain consistent.
If Your Hotel Cannot Help or Your Bag Is Delayed
If reception cannot arrange dispatch, check a suitable courier sales office or participating counter. Confirm its opening hours, accepted luggage, payment options and collection deadline before taking the suitcase there. Sagawa also offers hotel-delivery services through listed counters, with conditions specific to the service. An alternative sending location does not solve an unattended destination: a rental apartment still needs a confirmed way to receive the bag.
If the suitcase has not arrived, first compare the tracking status with the agreed delivery date. For a shipment marked delivered, ask reception to check under your reservation name and tracking number. If it remains in transit or shows a delivery problem, contact the carrier with the receipt details. Tell both the carrier and hotel if you will leave before the bag arrives, and obtain instructions before arranging another destination. Changing hotels or redirecting luggage may affect the delivery time and charge.
Sending Luggage to the Airport
Treat delivery to your departure airport as a separate booking decision. Yamato’s standard Airport TA-Q-BIN process calls for dispatch by two days before departure, or three days in some areas, subject to the sending counter’s deadline. It also requires the sender’s receipt when collecting luggage at the airport. These conditions differ from simply sending a bag to another city hotel. Check the Airport TA-Q-BIN instructions.
Confirm the airport, terminal, collection counter and its opening hours against your flight. A bag being at the airport is only useful if you can collect it before airline check-in closes. Keep everything needed for your remaining hotel nights and journey in your smaller bag. If the collection arrangements are inconvenient for an early flight, taking the suitcase with you may be the more practical option.
Frequently Asked Questions (FAQs)
How long does luggage forwarding take between Tokyo and Kyoto?
Ask the courier or sending hotel for the expected delivery date for your particular service and dispatch time. Avoid planning around an automatic 24-hour turnaround. Include the receiving hotel’s agreed acceptance date, and pack enough essentials to last until you can collect the suitcase. Special same-day services have separate eligibility and timing conditions.
How much does it cost to send a suitcase between hotels?
For the standard Tokyo-to-Kyoto cash-rate examples checked in September 2026, Yamato lists ¥2,780 for Size 140 and ¥3,160 for Size 160, including tax. Your quote depends on the actual route, measurements, weight and service. Sending two bags also means budgeting for two parcels rather than treating the quoted amount as a group price.
Can every hotel or Airbnb send and receive luggage?
No. Confirm both services directly with each property. A staffed hotel may receive luggage without arranging outgoing shipments, while an unattended rental may have no suitable receiving arrangement. If you plan to use a courier office instead, confirm the exact collection procedure and location before addressing the bag there.
Can I send my suitcase ahead while visiting another destination?
Yes, when the courier’s delivery window and the receiving property’s arrangements support it. This can work well for an intermediate overnight stay. Agree on the delivery date before dispatch and pack for all the nights without the suitcase, including any night spent at the sending hotel after handing it over.
Can I send luggage to the airport before my flight?
Yes, through a service that supports your airport and terminal. Check the dispatch deadline and collection-counter opening hours before committing, particularly for an early departure. Keep the receipt with you and allow time to collect the suitcase before checking it in with the airline.
What should I do if my suitcase has not arrived?
Check the tracking record and agreed delivery date, then contact the receiving hotel or carrier according to the status shown. Have the tracking number, booking name and destination details ready. If your departure is approaching, explain when you are leaving and ask for a confirmed recovery arrangement before moving on.
